Dispatch software for small and medium fleets

Somewhere around the fourth or fifth truck the spreadsheet stops working. Two drivers get booked on the same day, a POD goes missing the week the invoice is due, and nobody can say which broker is actually worth running for. DispatchInAI puts the whole operation on one board.

What breaks first

A fleet does not outgrow its spreadsheet all at once. It outgrows it in specific places: nobody can see the whole week at a glance, so two loads land on the same driver. Paperwork arrives in a group chat instead of against the load. Driver pay gets recalculated by hand every week, and a disagreement about a settlement takes an afternoon to resolve because the numbers only exist in someone's head.

The usual answer is a system priced per truck and per user, which punishes exactly the thing you are trying to do. DispatchInAI charges by load volume and includes unlimited users, so adding a dispatcher or bringing a second person onto the office side costs nothing.

One board for the whole week

A planner that refuses to double-book. A fleet timeline by week, two weeks or month, with unassigned loads in their own lane and guardrails that stop the same driver being committed twice.
Assign by profit, not by habit. Available drivers are ranked by the margin a load would actually leave after driver pay, including each driver's deadhead miles to the pickup.
Dispatch by text, with a reply you can point to. Drivers get the load by SMS and reply YES or NO. The acceptance is recorded against the load, so there is no argument later about who agreed to what.
Settlements that survive a disagreement. Percentage, per mile, flat per load or hourly — per driver — with recurring deductions, escrow and carry-forward of a negative balance. Every statement shows its own arithmetic.
Know which brokers are worth it. The broker scorecard ranks by net margin per truck-day after driver pay, effective rate per mile after deadhead, deadhead percentage and days to pay.
Compliance that warns you in advance. CDL, medical card and insurance expiry are tracked with 30 days' notice, and fleet maintenance runs on date, mileage or engine hours.

Growing without changing systems

There is no fleet-size ceiling and no feature gating. Every plan includes the entire platform, so a fleet going from two trucks to twenty changes plan, not system — and never loses a feature by being on the smaller one. Each customer gets an isolated workspace on their own subdomain.

What it costs

Billing is per saved load rather than per truck or per user, starting at $24.99 a month. Nobody is ever blocked from saving a load for being over a plan's allowance. Every account starts with a free 30-day trial — no credit card and no contract. The DispatchInAI team sets the account up for you, usually within one business day.

Common questions

How many trucks is this built for?
From two trucks up, with no ceiling. Plans are sized by load volume rather than truck count, so a fleet that grows changes plan rather than changing system, and every plan includes the full platform.
Do I pay per dispatcher?
No. Users are unlimited on every plan. Adding a dispatcher, an office manager or a bookkeeper does not change the price — billing is based on how many loads you save.
Can it stop drivers being double-booked?
Yes. The load planner shows the fleet as a timeline and applies a double-booking guard when a load is assigned, so a driver already committed for that window is flagged before the assignment is made rather than after.
How are driver settlements handled?
Each driver has their own pay profile — percentage as a flat or layered split, per mile with separate loaded and deadhead rates, flat per load, or hourly. Settlements handle recurring deductions, escrow contributions and charges, and carry a negative balance forward rather than producing a negative cheque.
Do drivers have to install anything?
No. Drivers open a link from a text message in their phone's browser to accept a load, mark it in transit and delivered, and photograph BOL, POD and receipts. Drivers who prefer plain text can work over SMS alone.
